Before

Before implementation, the company used built-in GoldMine CRM reporting. Employees in sales and marketing departments, including top managers, worked in a single window where they analyzed charts and CRM data.

There are several reasons why this solution was inefficient:

  • Incomplete single-window – when filters in the report are applied CRM records weren't filtered.
  • Outdated interface – non-interactive charts. No real-time filters on the chart.
  • Missing important chart types like a pie chart or a bar graph.
  • No mobile version including browser one.

Solution

6 new reports were developed on Power BI in 8 weeks:

  1. Leads report. Sources, geography, seasonality.
  2. Sales reps performance report.
  3. Opportunities performance report. Sales stages, customers information and properties they are interested in, potential revenue.
  4. Sales performance by property report.
  5. KPI’s report: revenue and profit, number of deals, average deal size, etc.
  6. Customer summary report. A number of deals, conversion rate, total revenue and average deal size.

Each report has:

  • Familiar user interface and experience: CRM data is displayed in the report with the ability to drill down into a specific opportunity, lead or contact for deeper analysis.
  • New global filters: by date, deal type (sale or rent), office and employee. When switching between reports the chosen filters are saved.
  • New data visualizations and analytics.
  • Implemented security model: permissions are inherited from CRM.
  • Integration with a new CRM system. Now reports are embedded in Microsoft Dynamics 365.

After

C-level executives got a convenient mobile interface to track sales performance and make decisions. There is functionality in any report to drill down into a specific Opportunity/Lead/Contact for detailed information.

Sales and marketing departments use reports right inside a new CRM which allows them to stay focused in their workspace.

Reporting routine became more convenient for all users:

  • New charts and views provide a comprehensive view on sales data.
  • Global filters and bookmarks are great timesavers.
  • Interactive charts eliminate the need for configuring additional filters.
  • Employees love the new modern interface.
