Before

Before service implementation, the car transferring process was performed offline. Both drivers had to call in advance, find out about the condition of the car and make an appointment at a convenient time. A paper-made acceptance certificate was prepared and signed by hand.

Therefore, it caused the following difficulties:

• Lack of relevant data on the status and current drivers of cars.
• It was difficult to determine who the car was assigned to.
• A receiving employee could not assess the condition of a car remotely.
• Transfer of a car required offline meeting of both drivers next to the car.
• A paper acceptance certificate could be lost.

Solution

Mobile Power Apps for drivers (the whole process of receiving and transferring a car is done right in the application):

• Checking out missing equipment (winch, jack, etc.).
• Marking defects and damage on the car diagram.
• Car state photo fixation.
• An electronic acceptance certificate is signed through a mobile device.
• An ability to request a car (and reject an incoming request).
• Push-notifications and in-app notification-feed.
• A list of all cars assigned to the current user.
• Car's acceptance history.

Web application for an administrator:

• Single Dataverse database: vehicles, acceptance certificates, drivers.
• Integration with ERP - receiving a list of cars.
• Viewing the car list and detailed information on them - current condition and owner and transfer history.
• Acceptance certificates data review.
• Car condition at the time of transfer.
• Comparison of data, entered by the transferring and receiving drivers.
• View images, damage marks and signatures of the drivers.
• Automatically generated acceptance certificate in PDF.
• Integration with DWH: analytics and statistics data collection.
  

After

Now employees can receive and transfer cars through a mobile app. Administrators can see all changes and control the process in real-time.

• A personal meeting is no longer required - transfer and acceptance are carried out by the drivers separately.
• Paperwork is excluded - an acceptance certificate is prepared in digital form and a report is generated automatically.
• The process has become faster and more convenient - one does not need to fill in a certificate by hand and give it back to the office, as the administrator's data is updated online.
• One can request a car through the app, without finding out who owns it and calling the owner.
• Cars' condition and their owners’ history are automatically saved in Dataverse and are protected from unauthorized changes.
• Accumulated statistics on the use of cars allow one to optimize the fleet.

Roadmap

• Adding Safe work functionality - a checklist for potentially dangerous work (checking tools, personal protective equipment, safety knowledge).
• Adding Road safety functionality - a checklist for road safety (seasonal equipment, vehicle security systems and safety recommendations).
• Adding Mileage functionality - registration of vehicle mileage based on odometer readings (with AI-based data recognition from an odometer photo).
