Before

Before the implementation, new hire onboarding process ran offline. Employees explored the workplace: HR told more about the company and its directions, shared key contacts (manager, mentor, HR specialist), described the process of entering into new role. During the adaptation time HR personally worked with each employee.

Therefore, it caused the following difficulties:

  • The adaptation process wasn’t personalized in the early stages.
  • HR spent much time to set and discuss tasks of each employee.
  • It took more time to complete tasks as an employee needed to take adaptation content from HR.
  • Some tasks were not completed as the task list was not formalized.
  • It was impossible to perform the onboarding process remotely.

2 Power Apps applications: for new hires and HR staff responsible for the onboarding process.

  • Task templates creation. For specialists of different groups: local, expats, technical specialists.
  • Personal onboarding check-list creation with a possibility to correct by employee if needed.
  • Attaching all new hires content (documents, trainings) which is necessary to complete the task.
  • Key contacts prioritization on the personal onboarding page.
  • Onboarding process control: an employee marks completed tasks on the personal page, HR and a manager can monitor progress and analyze the results.
  • Automatic notifications of process start and finish, new task assignment.
  • Role-based access control.

After

After implementation new hire onboarding process has become faster, more clear and effective:

  • All new hires feel more convenient as all relevant documentation is stored in the single system.
  • Overall time spend on the process is reduced: HR and managers save their time assigning tasks and analyzing employee's effectiveness.
  • The process does not depend on the employee’s geographical location: remote onboarding is possible through the app.
  • A personalized approach to the onboarding process: a new employee gets and completes tasks individually at all onboarding stages.
