Before

The aircrew management needs to promptly notify individual groups of employees of all changes and news related to their aircraft or flight. The distribution administrator manually prepared a list of employees and sent each employee a separate notification using the flight management system.

If employees had questions or needed to respond to a notification, they additionally used third-party messengers (like WhatsApp).

According to flight regulations, some notifications require confirmation from crew members that they have received the information. To obtain confirmation, the administrator contacted crew members directly through third-party messengers or by phone.

Therefore, it caused the following difficulties:

  • A lot of time was spent on creating and managing the distribution lists.
  • Employees didn’t have the opportunity to respond to the notification in the same application.
  • It was impossible to track whether an employee had read the notification and when.
  • Distribution statistics and employee activity analytics were done manually.

Solution

PowerApps application for administrators for notification distribution management:

  • Employee database collected from the HR system and flight management system.
  • Manual or filtered group distribution creation (by flight, aircraft type, position, etc.).
  • Sending Teams notifications (that do not require a response) and announcements (with the ability to respond and comment).
  • Ability to request confirmation from employees that notification has been read.
  • Retrieving information about the distribution status.
  • Power BI report with statistics on all conducted distributions (recipient list with information about delivery time and reading status).

Teams chatbot for sending messages to employees:

  • Sending messages in groups and individual messages.
  • Tracking message delivery and reading status.
  • Ability to respond to messages and leave comments.
Application for managing notification distribution

After

  • Accelerated notification distribution due to automated group formation (e.g., "all Boeing 747 pilots" or "all Belgrade - Amsterdam flight crews this week").
  • The ability to send notifications of different types (with or without the ability to reply).
  • The ability to view which employees did not receive or read the notification and re-distribute only to them.
  • Simplified regulatory reporting due to saving distribution history and statistics.
